Subcontractor Process at Jefferson Lab
PREBID VISIT
Pre bid visits do not require a badge, but must register as a visitor 7 days in advance. Please see this link to register for a pre-bid visit as a visitor:
REGISTERING FOR CONTRACT
After a contract has been awarded, Subcontractors must register for their contractor work at this link 7 days prior to requested start date:
The Technical Representative (TR), who is the JLab supervisor for the contract, will receive an email letting them know a registration has been submitted. This registration requires their revision and approval.
- Delivery, service, vendor, and utility services personnel are exempt from registering in advance when performing work within designated General Access Areas or when escorted by a Jefferson Lab Host.
- Foreign national Subcontractors must provide a valid passport and immigration documentation along with completing a FACTS Form
TRAINING
The minimum required Training for a Subcontractor to receive their badge is:

SAF100C (Construction Subcontractors) OR SAF100S (Service Subcontractors)

GEN034 (Service Subcontractors AS REQUIRED BY CONTRACT)
Required Subcontractor Trainings to receive access to the accelerator site is:

SAF800 (For access to the accelerator site)

SAF801kd (To enter any buildings on accelerator site, not to replace the required training for that building access)
Once the registration form has been approved, Subcontractors must complete their required training assigned by their TR prior to arrival. Visit the Web-Based Training Webpage here to complete:

BADGING
A badging appointment can be made at the link below after all prior requirements have been met. A government issued photo ID is required for the badging appointment:
ADD SUBCONTRACTOR
To add a subcontractor to contract, an SF1413 form will need to be completed and sent back to PO (Procurement Officer), TR (Technical Representative), and subcontractor-registration@jlab.org.
COMPANY ADMIN
Jefferson Lab's Contract Management Dashboard is a portal for subcontractors to manage their employees registration & trainings, and allows for the ability to remove or add an employee to a contract. A company administrator must be designated in order for their company to have access to the Management Dashboard. The designated administrator shall register with the above registration link, and send an email to subcontractor-registration@jlab.org. The email address provided by the company administrator will be sent a link to create a new password before access.
